COVID-19 Release Waiver

During the registration process, all attendees must agree to the following waiver: During my participation at the Biophysical Society 67th Annual Meeting being held February 18-22, 2023, in San Diego, California, I will abide by all guidance, recommendations and requirements to reduce the transmission of COVID-19, including but not limited to, engaging in appropriate social distancing, wearing a mask in public areas, if required, and observing rules of room capacity limits.  I will self-monitor for signs and symptoms of COVID-19, and if I experience one or more symptoms, will remove myself from interaction with others and continue to monitor my symptoms. I hereby release, covenant not to sue, discharge, and hold harmless the Biophysical Society, its employees, officers, agents, contractors, sponsors, and sponsored venues, of and from any claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating to my voluntary attendance at the Biophysical Society Annual Meeting, whether a COVID-19 infection occurs before, during or after participation in the Annual Meeting

Registration badges will be available for pick up in the registration area of the San Diego Convention Center. Admission to all scientific sessions, poster area, exhibits, and Society social functions require a badge.

Badges are required for admittance to all scientific sessions, subgroups, poster area, exhibits, and social functions. Please remember to keep your badge with you at all times. Attendees will be charged a $30 processing fee to replace one badge on-site. All subsequent requests for badge replacements will require the attendee to re-register for the meeting at the full on-site registration rate in the attendee's member category.

After you have completed your registration to attend the meeting, don’t forget to: 

  1. Complete your abstract submission. Remember, if you have only paid $75 early or $175 late abstract submission fee, you are NOT registered for the meeting. This fee is only to complete the abstract submission. 
  2. Make your air and/or ground transportation arrangements to San Diego, California.
  3. Book your hotel room through the Biophysical Society Housing Bureau, Convention Housing Partners (CHP) to ensure you get the best rates offered for the Annual Meeting. 
All early abstracts submitted by October 1, 2022, and accepted by the Program Committee will be published as a supplement to the Biophysical Journal.
An online program will be available one month prior to the Annual Meeting for registered attendees to download or print.

Due to the sensitive nature of data and the preliminary, unpublished research findings, all filming and recording of any kind (camera, cell phones, personal devices) in the scientific session rooms, Exhibit Hall, and poster area is strictly prohibited unless accompanied by a member of the Society staff. Any individual seen taking photographs in any session room, the Exhibit Hall, or poster area will be escorted out by security. 

Registration for the meeting entails consent to the use of any photographs taken of all attendees by officials of the Biophysical Society, or their representatives, to be used for editorial, promotional, or BPS website uses.

Requests for registration cancellations and refunds must be submitted to [email protected].  A $50 fee will be deducted from all registration cancellation refunds. Refund requests must be received by the Society Office no later than January 5, 2023, 11:59PM USA Eastern.

In cases of cancellations due to denied Visa applications, the full registration fee minus the processing fee of $50 will be refunded after having received a proof of the rejection from the corresponding embassy via email, mail, or fax and the rejection was not due to late application. Visa applications submitted after November 30 that are denied will not receive a refund.

Press Registration

The Biophysical Society welcomes and encourages science journalists to attend the Annual Meeting and report on the research being presented. Please review the Annual Meeting Program to pinpoint presentations that may be of particular interest to your publication.

Press Credentials

To register as a member of the press, please contact the Biophysical Society’s Director of Advocacy and Public Affairs, Leann Fox at [email protected] or 240-290-5606. The Society waives registration fees for reporters that can document their status as a member of the press corps. This can be done with a recognized press card, proof of membership in a national or international science writers association, or the submission of previously written articles covering an annual meeting. The Society will not waive registration for editors of peer-reviewed journals, ad sales representatives, publishers, program officers, or marketing professionals. Scientists, advertising or marketing professionals, and editors must register through general registration and pay the registration fee.

Institutional Press Officers/Public Information Officers

The Biophysical Society encourages institutional press officers and public information officers to prepare press releases on research members of their community who are presenting at the Annual Meeting. The Society will distribute these press releases on-site and can also make them available electronically. Please contact Leann Fox at [email protected] for more information.

Press release highlighting research being presented at the meeting will be made available via Eurekalert, Society's website, and social media during the meeting. Follow #BPS23.
